Job Description:

FMR AGENCY- Future Moves Recruitment Agency Limited is seeking a diligent and proactive Office Administrator to join our team. The ideal candidate will provide essential administrative support, ensuring efficient and smooth day-to-day operations of our office. This role requires strong organizational skills, excellent communication abilities, and a keen attention to detail.

Key Responsibilities:

1. Administrative Support:
– Answer and direct phone calls, take messages, and handle correspondence.
– Greet and assist visitors in a professional and friendly manner.
– Schedule and coordinate meetings, appointments, and travel arrangements for managers.

2. Office Management:
– Maintain office supplies inventory by checking stock and ordering supplies as necessary.
– Ensure the office is clean, organized, and presentable at all times.
– Manage office equipment and arrange for repairs when necessary.

3. Data Management:
– Create and update records and databases with personnel, financial, and other data.
– Prepare and distribute documents, reports, and presentations.

4. Financial Tasks:
– Handle basic bookkeeping tasks.
– Process invoices, expense reports, and other financial documents.

5. Communication:
– Liaise with clients, suppliers, and other staff.
– Draft and send emails, letters, and other forms of correspondence.

6. Project Assistance:
– Assist in the preparation of regularly scheduled reports.
– Support team members in various projects and tasks as needed.

Skills:
– Proficiency in MS Office (MS Excel, MS Word, MS Outlook, and MS PowerPoint).
– Excellent written and verbal communication skills.
– Strong organizational and time-management skills.
– Ability to multitask and prioritize tasks effectively.
– Attention to detail and problem-solving skills.
– Familiarity with office equipment (e.g., printers and fax machines).
